Import patients

Updated

Coming from another system? Import your patients in one go instead of adding them one by one.

Who can use it: professionals, administrators and owners, on every plan.

Before you import

Imported patients don't get any email unless you tick Invite new patients to the portal (Invitar a los pacientes nuevos al portal). If you tick it, each new patient in the file gets an email to create their patient portal account. You can also invite them one at a time later, from their chart.
  • Each row needs a first name, last name and email.
  • Imported patients count towards your plan's active patient limit. Rows over the limit are marked as errors.

Step by step

  1. In Patients, select Import.
  2. Choose the format:
    • CSV File: up to 25 MB. Select Download example CSV template to see the columns.
    • FHIR R4 Bundle: a .json file.
    • HL7 / CDA: a .hl7 or .xml file.
  3. Drag the file in, or select it.
  4. For a CSV, check the Column Mapping. Common columns are matched automatically; you can choose the field for each one, or skip it.
  5. To send new patients the portal invite, tick Invite new patients to the portal.
  6. Select Start Import.

What happens to each row

  • New patient: created.
  • Already exists (same email or ID number at the clinic): their details are updated, without a duplicate.
  • Invalid data (for example, no email): skipped and listed as an error.
  • Large files are processed in the background: you'll see "Import queued for background processing", and you can keep working.

See the result

Select Import History to see each import with its status (Pending, Processing, Completed, Partial or Failed), how many patients were created and updated, and the errors. View Errors lists each failed row and why.

Troubleshooting

Problem What to do
Many rows with errors Check that each row has a first name, last name and valid email, and that the column mapping is right.
The import is Partial Some rows failed. Open View Errors, fix those rows and import just those.
Errors about the patient limit You've reached your plan's active patient limit. Upgrade, or import fewer patients.
